Transfer Request Application Format – Location transfer due to personal reasons
Transfer application letters are really tricky. Basically you
write to your manager asking him to let you leave his team and join some other
team under some other department or at a new location. Obviously your manager isn’t
going to be happy letting one of his star employees leave.
This fact makes putting in a transfer request extremely
tricky. Writing such business letters requires careful considerations of your
actions, taking extra precautions with the kind of words you use and the tone
of the letter. Sometimes it’s advisable to proof read your letters and may be
also ask a friend to proof read them for you.
Following is a general purpose template of business letter
seeking transfer to a different office location at the same organisation for
personal reasons. Same can be modified for seeking transfer into a new unit or
department within the organisation.

Application for a Location/ Department Transfer <write this in subject section in case of an email>
Dear <Manager’s Name>
I am really happy with my work and the
opportunities I am getting as part of our team. I have really learned a lot and
look forward to serve our organisation in the coming years. However as
discussed with you earlier, my family is currently living in <location you want transfer to>, which is also my hometown.
With my spouse’s job and schools of my
children also being at <location/city>, I am finding it increasingly difficult
to give enough time to my spouse and children. Of late this has started affecting
my work.
I request you to please release me from
my current assignment and approve my transfer to our office in <Location/City> in the same role. The HR department
requires your approval to process my application further.
It was indeed a pleasure working with
you and I hope our paths cross again.
Thanking you in advance.
Warm Regards!

The above template is only for your
reference and you will have to modify it as per your location and genuine
reason for asking for a transfer. It is always recommended to keep your manager
well informed about your issues so he/she will be in a better position to
understand and take action in your interest. Check out the block format of business letters and other application letters on this site.

While writing a business later, you are required to show professionalism. Even a minor mistake is not acceptable. The transfer letter is the trickiest. This was very helpful.
